Here was the challenge: The owners had decided to move over to the use of Power Diary (PD) from Splose as their main Content Management System (CMS), but the final move kept being delayed, and delayed...and delayed some more.

What started off as a simple data migration to be performed by the Data Migration Team at Power Diary, and straight switch over the Christmas break of 2023, became an issue that snowballed into chaos.

The key issue was that the Power Diary Data Migration Team had already preformed one data migration at the end of 2023, so, all data was up to date on PD but as of the end of the previous year, whilst all staff had continued use of Splose. This added more data to the old software, making it harder to effectively transition to PD.

After several separate tasks of manually updating data on PD (since Splose was still being used on a daily basis), I decided to take over the management of this software switch. I approached the issue by breaking it down into a few crucial steps:

  • Identifying which specific data set was essential for us to begin using PD immediately, which was narrowed down to:
    • Client Information
    • Calendar appointments
    • Progress Notes
    • Waitlist
  • Identifying which I could perform myself
    • Updating the waitlist
    • Updating new clients since the start of 2024
  • And which I would need to consult with the PD Data Migration Team
    • Calendar Appointments
    • Progress Notes

By setting myself a deadline of the following Monday (giving myself only a week) I was able to liaise with the PD Data Migration Team and complete this task and have the software ready by Monday, 5th February, 2024.
